Tools for (international) youth work

On this page you can download the latest versions of the Tools from the “OASES – Organising Artistic Self-Empowerment Spaces” Project.

The OASES Participant List and OASES Cooking Tool are based on Google Sheets; you need to be logged into a Google account (e.g. Gmail or YouTube account) to use them. A click on the corresponding button creates a copy of the template table which you can then freely edit and use for your own purposes.

Before using the tools, we recommend that you read the relevant chapters of the OASES help manual:

Notes:
  1. The OASES Tools are provided “as is”.
  2. We cannot provide support; the OASES funding period ends on 31.05.2023, and our staff is too short for permanent support. We are happy to accept bug reports at info@rrcgn.de
  3. The OASES Tools are published under Creative-Commons-Licence CC BY-NC-SA 4.0
  4. When using OASES Tools, especially the OASES Participant List Tool, to store sensitive data, we recommend using Google Workplace with GDPR-compliant settings (and not regular Google Drive). For non-profit organisations, Google Workspace is available for free.
  5. The OASES Group cooking tool is available in a german and an english version. The two versions are not compatible with each other. All other tools are only available in English.

The OASES Participant List Tool

Here you can download a copy of the OASES Participant List Tool. The tool is only available in English. With this tool, you can comfortably compile the necessary contact data and information of the participants in an international meeting (also usable for other camps and seminars); and then export lists in different formats, from the signature list to lists of vegan, vegetarian and meat-eating people per meal.

You can also create lists that you can upload directly to the Erasmus+ reporting tool (“Beneficiary Module”) to report the “mobility activities” of all participants. Depending on when your Erasmus+ application was approved, you will need different versions of the tool: Version 1.1 for applications approved in 2022, version 1.2 for applications approved in 2023+.

The OASES Cooking Tool

Here you can download a copy of the OASES Cooking Tool. The Tool has two parts:

  1. The OASES Cooking Sheet … with this, you can plan he complete menu for an international meeting, leisure or a seminar. The sheet provides you with a cooking list with all the recipes, the appropriate quantities of ingredients and various shopping lists.
  2. The OASES recipe sheet. You can use our standard recipe sheet with 135+ tested recipes, but you can also make your own copy to edit the recipes and/or add your own.

Before using the group cooking tool, be sure to read the Cooking for Groups sub-chapter in the OASES PDF.

The OASES group cooking tool is available in English and German. Choose one of them; you can use the german recipe sheet only with the german cooking sheet, and the english recipe sheet only with the English cooking sheet! There are also two versions of the cooking sheet: one with a pre-filled, tested menu for a 9-day encounter; one with a blank menu.

Infosheets / Calls for Participants

The free online tool Canva enables the graphic design of texts in a relatively simple way. In the OASES project, we developed info sheets for participants in Canva, which we used in our six international pilot encounters. Mostly in two stages:

  1. Already, when young people / young adults are invited to participate in an international encounter (whether with an “open call” or individually), they receive a nicely designed text with the most important information and regulations about the project.
  2. After confirmed registration and booked travel, a second info sheet with more details follows.

You will need to create a Canva user account to use the template below.

PDF files exported from Canva are usually very large. You should reduce their size before sending them digitally. You can do this with the full version of Adobe Acrobat, for example, or with the free online tool from SmallPDF.

Call for Partners

Here you can download the OASES-template for “Calls for Partners”: A template in english for calls to other (youth) organisations to participate in a joint project, for example as part of the EU funding program Erasmus+ Youth in Action.
